The annual gathering of the RMMGA east coast group will be held at the Westmoreland State Park, Montross, Virginia 

 Thursday 24th April through Sunday 27 April 2008.

"This is Murphy Hall. You have reserved the entire facility which includes the main meeting room, the executive meeting room, kitchen and grounds. The grounds include the glassed in porch/terrace, the wood deck on rear of the building and the fenced lawn behind the building. There is no cover over the deck however the area is shaded. There is also a wooden platform that has electrical outlets and ten 6-foot picnic tables. No smoking inside; ash cans provided outside. Parking fees for maximum 45 vehicles included in the fee; all other cars charged current parking fees at the park. No pets allowed. Your group is responsible for the property and costs associated with any repair or replacement due to damage or theft will be charged to the group's representative. There is a cancellation fee $20 more than 30 days from event; within 30 days of arrival cancellation rises to 30% of total fees paid. If you are planning to use a caterer, having entertainment, renting the park's tent, renting audio/visual equipment, or holding a "green" event or any other special requests, you should contact the Business Manager at 804-214-9202. All arrangements must be finalized at least 2 weeks before the event date. You must have a banquet permit from the Virginia Alcohol Beverage Control Board to serve alcoholic beverages; this permit takes minimum of 14 days to process application. You MUST also secure Special use Permit directly from Westmoreland State Park for any use of the facility beyond a simple meeting. Special Use permits can take up to 30 days to process/secure. Contact the Business Manager for any questions or to secure Special Use Permit well in advance of your meeting"



NO  OPEN FIRES  until after 4pm daily law This includes BBQ grills,  so no grilled foods for lunch.

Here is my take on a  Menu for the weekend

  • All breakfasts be pretty much the continental style. Those wishing to have some cooked are heated items could add those with out a problem. some have volunteered for breakfast casseroles or the like and Tim's famous sausage will be available for grilling on the stove.
  • First meal will be Friday breakfast and thursday everyone will be on there own.
  • Most meals will be pot luck with some major items provided as common items.
  • Friday lunch: cold cut sandwichess/hoggies, chips 
  • Friday dinner: Italian night 
  • Saturday Lunch: Chili cook off
  • Saturday Dinner: Pot luck with Spiral Ham and Smoked Turkey provided
  • Sunday Lunch and Dinner: Left overs 




As we hope to hold our open mics out doors on the deck, our evening meals will need to get going early.
Last year we had the open mics start before dinner and kept it going during the meal time.

Cost of event

Last year we spent about $715 dollars for supplies and food. Assuming we have a 10% price increase we should spend close to $785 dollars. The Conference Center rental is 665 dollars plus 5% tax or $698.15. (round up to $700) a two day abc license will be $95.

                    $785 + $700 + $95 = $1580

Last year we had  66 folks splitting the cost so 1580/66=23.94 Rounded up to $25.00 per person attending. As before children under 12 are free and it's 25 per person no matter how many or how few days you attend.

Please send me an email or better yet post on the yahoo group to let me and everyone else  know what you plan on bringing for the pot lucks and for what work you would like to volunteer .As I get the information I will update the lists by the meals below so we all know what people are bringing
